Safer Communities recognise that privacy is very important and we take it seriously.  

This Privacy Notice describes how Safer Communities collects, uses, discloses and shares personal information or personal data.   It sets out what Safer Communities will do with personal information and the arrangements they will make to keep it private and safe.   It also explains rights, for example, how a copy of the information SITV holds can be obtained.

Graham Strange, Director of Operations is the Safer Communities Data Controller in respect of personal information collected through any involvement with Safer Communities, whether as an employee, a customer, service provider or service user/client.    This Privacy Notice therefore applies to all activities delivered through Safer Communities.  

For clarity, personal information or personal data means information relating to an identified or identifiable natural person.

Our data promise

We are committed to respecting and protecting personal information.   Our promise is to: –

  • Be open and honest about how personal information is stored and used.
  • Make it easy to access and correct personal information.
  • Have effective protection in place to keep personal information safe and secure.
  • Never to sell personal information.

When do we obtain personal information?

We collect personal information: –

  • At the time of and throughout employment by Safer Communities.
  • In respect of those that deliver services with or on behalf of Safer Communities.
  • For those that accept an offer of support from and engage with one of the Safer Communities Services.
  • From those who complete customer surveys or provide feedback in respect of the service received.

The Information We Collect

We collect information directly from individuals and from third-parties.   If you choose not to disclose certain personal information, it may limit your access to follow on care and support.   When you communicate with us, we may maintain a record of your communication.

How We Share Your Information

Safer Communities will not share any personal information without explicit and informed consent of the individual concerned.   The exception to this rule is in respect of safeguarding where Safer Communities are obliged to inform other agencies due to risks that: –

  • A person is considering harming themselves or another person,
  • They mention something that leads the Safer Communities employee or volunteer to believe that a child or vulnerable adult may be at risk of harm, or
  • It is suspected that they are posing a threat to national security (e.g. involvement in terrorist activities)

Some Safer Communities services are delivered in direct Partnership with another organisation.   We will only share personal information with a partner service where there is a legitimate interest to do so and only at the time of providing initial support to ensure the appropriate care is provided.

We may share anonymised aggregate data or de-identified information with service commissioners and other partner agencies.

How We Protect Your Information

The security of your information is important to us.   We take appropriate technical and organisational measures to prevent the loss, misuse or alteration of your personal information.

Access and Amend Your Information

You have the right to:-

  • Withdraw your consent at any time.
  • View any information held about you.
  • Request that any incorrect information is put right.
  • Have your details removed from the Safer Communities records at any point.

Retention of Your Data

We will retain and use your personal information only when necessary for a period up to 7 years from the date your support from the service was completed.   This is to provide appropriate care and support, comply with our legal obligations, resolve disputes and to maintain appropriate business records.
